Rockingham Forest Housing Association
Rockingham Forest Housing is a charitable organisation that owns and manages stock in 6 local authority districts: East Northamptonshire, Wellingborough, Kettering, Daventry, Northampton and Corby, including shared ownership properties and market rented properties.
Like many others in its sector, it had a large volume of archive paperwork stored on its premises.
- To modernise document management processes in line with other areas of the business
- Reduce onsite storage space
- Increase efficiency of file retrieval and information lookup.
- Reduced wasted time searching for documents
- Regained valuable office space
- Increased security and compliance
Rockingham Forest Housing stored its records in a variety of storage rooms. This led to lots of delays when trying to locate certain housing records. Recognising the need to bring document management processes in line with other areas of the business, Rockingham Forest Housing sought a solution that would drive efficiency.
Rockingham Forest Housing approached Papershrink after discussions with several companies. Clare Burke, Executive Assistant from Rockingham Forest Housing said it chose Papershrink because it felt reassured and in "safe hands" by Papershrink’s approach; and that Papershrink "ensured everything was explained clearly". She was particularly impressed that Papershrink takes time to visit all customers wherever they are in the UK to discuss project requirements and provide a bespoke service.
“Papershrink offered a bespoke service, working with us every step of the way, ensuring we understood the entire process”.
Rockingham Forest Housing took advantage of our bespoke Collect Scan Upload service and the collection and turnaround times were agreed from the outset. It also opted to have its records destroyed by Papershrink in compliance with BS 10008.
“The main reason we decided to start scanning was to make our files more accessible. Nothing is more accessible than being just a click away from any file you need! In addition, digitising our files has greatly reduced our fire hazard risk as we now have significantly less paper on site.” - Lisa Adair, Accounts Officer, Rockingham Forest Housing Association.
Removing excess paperwork stored onsite has allowed Rockingham Forest Housing to automate its processes and work more efficiently. Additionally, Rockingham Forest Housing are now looking to make further cost savings by moving to a new premises since it no longer need all the extra space for storage.
Rockingham Forest Housing are looking to continue digitising and scanning their records from other departments over the coming months.
